Privacy Policy
Effective: October 8, 2026
This policy explains how Kaizant ("Kaizant", "we", or "us") handles personal information on this website, on our business phone line, and in our meetings with clients and prospective clients. This is a marketing website. Its purpose is to tell you about what we do and to let you request a demo or get in touch.
Information we collect
We only collect the information you choose to give us. When you request a demo or contact us, that is typically your email address, and any name, company, or message you include. Like most websites, our hosting provider may automatically record basic technical data such as your IP address, browser type, and the time of your visit, in server logs used to keep the site running and secure.
Every call to or from our business line, +1 302-600-3174, is recorded, and a notice saying so plays before the call connects. For each call we keep the recording, the phone numbers involved, and the time and length of the call. If you leave a voicemail, we keep the recording and an automatic transcript of it.
We record and transcribe our video and in-person meetings with clients and prospective clients. At the start of each recorded meeting we announce, by a spoken or on-screen notice, that it is being recorded, and if a participant does not consent, we do not record that meeting. For each meeting we keep the recording, its transcript, and the notes and tasks we prepare from them.
How we use it
- To respond to your demo request or message and follow up with you.
- To keep an accurate record of our meetings, calls and voicemail and act on what was said.
- To provide and improve our service for each client, to meet our legal obligations, and to establish, exercise, or defend legal claims.
- To operate, maintain, and protect this website.
We do not sell your personal information, and we do not use it for advertising.
How we share it
We do not share your information except with the service providers that help us run this site, communicate with you and keep our records, such as our website host, our email tools, Twilio (which carries our phone calls and stores their recordings and transcripts) and Amazon Web Services (which stores our meeting recordings, transcripts, notes and tasks), and when required by law. Those providers may only use the information to perform services for us.
We use Amazon Transcribe and Amazon Bedrock, AI services in Amazon Web Services, to transcribe our meetings and to prepare notes and tasks from them. They are configured so that the provider neither uses the content to train or improve any model nor keeps it after returning its output, other than in storage we control. We store our meeting recordings, transcripts, notes and tasks in the United States.
Cookies
This site uses only the cookies needed for it to work properly. We do not use advertising or cross-site tracking cookies. You can control cookies through your browser settings.
Your choices and rights
You can ask us to access or delete the information you have given us, including meeting and call recordings and voicemail, or to stop contacting you, at any time. Depending on where you live, you may have additional rights under laws such as the GDPR or the California Consumer Privacy Act. To make a request, email us at [email protected] and we will respond as required by applicable law. We will not treat you differently for exercising your rights.
Data retention and security
We keep recordings and transcripts of meetings, calls and voicemail between us and a client of our subscription service for the term of the client's Software Subscription Agreement with us and for two years after that agreement ends. For anyone else who has signed a Mutual Non-Disclosure Agreement with us, such as a prospective client or a client of our consulting, engineering, or expert services, the period is the term of that agreement and two years after it ends. If they sign a Software Subscription Agreement, it then governs the records made in connection with our subscription service instead. At the end of the period we delete them. We keep one longer only while it is relevant to a pending or reasonably anticipated claim, dispute, investigation, or legal obligation.
We keep the notes and tasks we prepare from those recordings and transcripts as business records for the term of the same agreement and for seven years after it ends, and then delete them. We keep them longer only while they are relevant to a pending or reasonably anticipated claim, dispute, investigation, or legal obligation.
We keep the other information you send us, and other recordings and voicemail, only as long as we need them to follow up with you or as required by law. We take reasonable measures to protect everything we keep. No website can be completely secure, so we cannot guarantee absolute security.
Children
This site is intended for businesses and is not directed to children. We do not knowingly collect information from children.
Changes
We may update this policy from time to time. When we do, we will post the new version here with an updated effective date.
